This notice explains how the Awareness Services booking system handles your personal information. It is written for people booking an appointment. Our full privacy policy is at awareness-services.com/privacy-policy. If this notice and that policy ever differ on a booking, this notice describes what the booking system does, and the full policy still applies.

Who we are
Awareness Services Pty Ltd runs this booking system from New South Wales, Australia. We connect you with an independent practitioner. We do not provide the clinical session ourselves, except where we expressly say so in writing.
The practitioner you choose is a separate business. The agreement for their service is between you and that practitioner. They are responsible for their own clinical records and their own privacy obligations.
Joy, the AI guide on awareness-services.com, is not part of this booking system. A booking here is a time with a person. Please do not type health details into Joy.
What we collect when you book
We ask only for:
- your name
- your email address
- your phone number
- the service, practitioner, and time you choose
- the fact that you accepted this notice, and the time you accepted it
Please do not put clinical history, a diagnosis, a Medicare number, or an NDIS number in the booking form. The form does not ask for them. If a practitioner needs health information, they will collect it in their own process.
Why we use it
We use these details to:
- make and manage the booking
- send you a confirmation and a reminder
- give the booking details to the practitioner you chose, so they can contact you about the appointment
- keep a record that you agreed to this notice
- deal with a cancellation, a complaint, or a request from you
We do not sell your personal information. We do not use booking details to train artificial intelligence. We do not use them for advertising.
Who we share it with
We share your name, contact details, and appointment time with the practitioner you book.
If email is switched on, our email provider sends the confirmation and reminder. That provider may store the message outside Australia, including in the United States. We take reasonable steps to require them to handle it only for sending that message.
Our staff who operate the booking system can see booking records. They use them to run the system, not for marketing.
We may also disclose information where the law allows or requires it, including:
- where we reasonably believe it is necessary to lessen or prevent a serious threat to life, health, or safety
- where a court, a warrant, or another law requires it
- to meet mandatory reporting obligations, including child protection
- to establish or defend a legal claim
How long we keep it
We keep booking records for as long as we need them to run the booking system and to meet our legal duties. Where we hold health information as a health service provider, we keep it for at least 7 years after the last occasion of service for an adult. If the person was under 18 when the information was collected, we keep it at least until they turn 25. That is the period required by the Health Records and Information Privacy Act 2002 (NSW).
Financial records, if any, are kept for at least 7 years. This booking system does not take card payments and does not store card numbers. You pay the practitioner directly.
People under 18
This booking system is intended for adults. A parent, guardian, or authorised representative should make a booking for a person under 18, unless that young person can consent for themselves.
Your choices
You can ask us for access to the personal information we hold about you, or ask us to correct it. Email our Privacy Officer at link@awareness-services.com. We will need to confirm who you are. We aim to respond within 30 days.
You can complain to us at the same address. We will acknowledge the complaint within 5 business days and respond within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992. For health information handled in New South Wales, you can also contact the NSW Information and Privacy Commission at ipc.nsw.gov.au or 1800 472 679.
You can deal with us without giving your name for a general question. We need your name and contact details to make a booking.
Withdrawing the agreement you give in the booking checkbox does not undo a booking already made. Contact us if you want the booking changed or cancelled.
